Job Description: Global Resource Solutions, Inc. (GRS) is seeking an enthusiastic, motivated and talented individual for the position of Administrative Assistants.
Summary: Administrative Assistants independently perform a wide range of functions in support of Senior Executives at the Directorate or other top level offices. These tasks require vision, leadership, and proficiency. They manage and run day-to-day operations. Administrative Assistants are expected to carry out their assignments independently with a high level of professionalism, discretion, and excellence. Administrative Assistants must possess the ability to problem solve, manage complex calendars, organize materials and communicate effectively at all levels of the organization.
Essential Duties & Responsibilities:
•Handles all schedule management activities and maintains the office calendar.
•Works with a degree of independence and significant feedback from upper management regarding methodology to be use in accomplishing objectives and establishing milestones and schedule with a wide latitude for independent judgment regarding the resolution of administrative management problems.
•Serves as the organization's Administrative Officer and advisor to management. This position provides authority and responsibility for a wide range of administrative management activities and provides a focal point of coordination, consolidation, review, information and guidance concerning administrative activities.
•Plans, coordinates and reviews all administrative management activities for organization. These functions include training/travel budgets, suspense systems, space planning, personnel management, record management, and logistics support.
•Develop guidance, procedures and/or polices relative to administrative management of an organization.
•Provide the organization with effective, efficient and consistent administrative management activities and provides personnel with a centralized source of expertise and directions, which ultimately affect the success of the mission.
•Participate in discussions regarding the organization's operation and contribute advice and guidance in areas of expertise to the decision making and planning process. Advises top management on the administrative management implications of additions, deletions, or changes to the varied functions of the organization.
•Correspondence preparation, timesheet support, timekeeping, schedule management, receptionist duties, and Office Automation.
•Establish and maintain computer based records/files (e.g. document logs, supply management, personnel information, office expenditures, etc.)
•Open mail, control mail distribution and copy and scan documents
•Review documents in accordance with organization's correspondence procedures; manage all office correspondence; track actions such as agency-controlled correspondence; edit and reformat agency-controlled correspondence in accordance with agency procedures.
•Manage time and attendance related office records such as leave requests, timesheets, overtime and compensatory (comp time), including inputting time and attendance reports into the defense Civilian Pay Systems (DCPS) database. •Maintain property management data using the Defense Property Accountability System (DPAS).
•10+ years experience in administrative role or related profession
•Demonstrated knowledge of government best business practices
•Excellent oral and written communications skills
•Expert understanding of Microsoft Office (Outlook scheduling, advanced Word editing, Excel spreadsheet and PowerPoint briefing slide development)
•Ability to multitask and deliver quality products within specified timelines
•Active TS/SCI security clearance
•Minimum 5 years experience in Defense Travel System (DTS)
•Minimum 5 years experience in Defense Civilian Pay System (DCPS)
•Minimum 3 years experience in PeopleSoft
•Minimum 2 years experience in Defense Property Accountability System (DPAS).
•Degree in Administration or Training in specific area i.e. DTS/DCPS/PeopleSoft/DPAS) is equivalent to 2 years experience.
Physical Requirements: This position requires employees to be willing and able to: sit, bend, reach, stoop, squat, stand, and walk.
Communication: Excellent customer service via phone and face to face conversation, excellent written and oral command of English.
